No Receptionist. No Personal Number. A Full Diary.

An AI receptionist answers the calls, patients book on WhatsApp and the web, and the dentist never hands out her own number. Built for a small practice that can't stop mid-filling to pick up the phone.

02 — The Challenge

A Practice Run Almost Single-Handed

Dento is modelled on a familiar case: a dentist running a practice almost alone, with an assistant two days a week. Every booking problem lands on her phone.

  • 01

    The phone rings mid-filling

A dentist working almost alone can't answer the phone with her hands in a patient's mouth.

  • 02

    Missed calls, lost bookings

A missed call meant a voicemail, two callbacks and often a patient who booked elsewhere.

  • 03

    A personal number in circulation

Giving patients a mobile number means messages at all hours and no line between work and home.

  • 04

    Empty chairs

Late cancellations and no-shows left slots empty that another patient would have taken.

  • 05

    A receptionist she can't justify

A full-time front desk costs more than a small practice's booking volume supports.

  • 06

    Health data on personal phones

Appointment details sent from a personal phone sit outside any retention or deletion process.

The Patient, the Practice and the Dentist's Own Phone

The automation runs on its own: the patient site, the patient's phone and the dentist's own phone show the same moment, step by step, just as in the live demo at dento.arino.one/demo. Tap any step to jump to it.

Booked, Not Requested

The patient picks a live free time and is booked in two taps. The confirmation lands on WhatsApp, and the dentist gets one line.

04 — Three Front Doors

Patients Book the Way They Prefer

  • Web

Patients pick a live free time on the practice website and are booked in two taps, with the confirmation sent by WhatsApp or email.

  • WhatsApp

Patients message the practice any hour, and a booking form opens inside the chat with live times from the diary.

  • Voice

Patients talk to the AI receptionist. It says it's an AI first, books the slot, and 'human' always reaches the practice.

05 — For the Dentist

No Second Phone, and Her Own Number Stays Private

Patients contact the practice number, which runs in the cloud. The dentist keeps her own WhatsApp for short alerts and the few decisions only she can make.

  • Practice Number in the Cloud

The WhatsApp number runs on the WhatsApp Business Platform through Infobip. No second phone to carry.

  • One Line on Her Own WhatsApp

Each booking arrives as a short alert, usually ending 'Nothing to do'.

  • Only the Exceptions

Requests that need her decision arrive with one-tap approve, decline or suggest-a-time buttons.

  • Run It by Voice Note

She can block Friday afternoon with a voice note. Affected patients are moved and told.

  • Shared With Her Assistant

Alerts can go to an assistant on the days they work, instead of to her.

  • Owner Console

The diary, requests, voice calls, automations and privacy settings in one place.

06 — The Follow-Through

Fewer Empty Chairs

  • Reminders Two Days Before

Patients confirm or move their visit with one tap, so the diary stays accurate.

  • Waitlist Refill

A cancelled slot is offered to the waitlist straight away. The first to tap gets it.

  • Missed-Call Text-Back

A missed call gets an instant text with booking buttons, so the patient can still book.

  • One Diary

Web, WhatsApp and voice all write to the same diary, so a slot can never be booked twice.

07 — GDPR

Patient Data Protected by Design

A dental appointment can reveal health information, so privacy was built into Dento from the first screen rather than added afterwards.

  • Health data treated with care — Appointments can reveal health information, so access is limited to practice roles.
  • Clear roles — The practice is the controller. Arino One is the processor under a data processing agreement.
  • Privacy notice for patients — A patient privacy notice is published and linked from every booking route.
  • Separate consents — Booking and marketing consent are recorded separately. Marketing is never pre-ticked.
  • Voice AI disclosed — Callers hear that they are speaking to an AI before the microphone opens, and can ask for a person.
  • Minimised alerts — Alerts to the dentist's own phone carry the least detail needed to act on them.
  • Self-service export and deletion — Patients verify their number, then download or delete their data, with a receipt.
  • Deletion everywhere — Erasure reaches every Dento data store, including messages and voice transcripts.
  • Automatic retention — A daily job removes records once the practice's retention periods end.
  • Cookie consent — Analytics and marketing trackers on the practice website run only after consent.
  • Demo data removed — Data entered by visitors to the demo practice is deleted after 72 hours.

This section describes how Dento is designed and configured. It is not legal advice, an audit or a certification. A practice using this setup, as controller, is responsible for its lawful basis, patient privacy notice and retention periods.

08 — Security

Built on the Arino One Core

  • Dedicated instance — Dento runs on its own Arino One instance, with nothing shared with other clients.
  • Role-based access — Owner, assistant and administrator roles each see only what they need.
  • Encrypted secrets — Messaging and voice credentials are encrypted and never readable from a browser.
  • Webhook verification — Inbound messages and call results are verified before they are processed.
  • Expiring links — Booking, confirmation and privacy links expire, so old links can't be reused.
  • Audit trail — Bookings, approvals, privacy requests and deletions are recorded for review.

Where Bookings Came From

Before Dento: ~140 calls a week, 1 in 3 missed. This week: 4 calls needed a human.

How We Calculate This
  • Minutes a person would otherwise spend: 4 min per booking made without staff, 5 min per move or cancel done by the patient, 2 min per reminder confirmed with a tap, 6 min per missed call that booked after the text-back.
  • Refilled gaps count the treatment price as money recovered, in euro, and its length as chair time.
  • The 12% no-show baseline and "~140 calls a week, 1 in 3 missed" are the sample practice's own estimates for a small Irish general dental practice, not national statistics.
  • Figures are a sample week and month from the Dento demo practice, priced in euro. They illustrate the method and are not results from a named client.

11 — Business Impact

A Front Desk That Fits in a Small Practice

Dento gives a small practice what a receptionist would: calls answered, bookings taken, reminders sent and cancellations refilled. The dentist keeps her own number private and only steps in for the decisions that need her.

Patients get three ways to book and control over their own data. The practice gets one diary and a privacy setup it can explain to any patient who asks.

12 — FAQ

Questions About Dento

Is Dento a real practice?

Dento Dental Studio is a live demonstration practice built by Arino One in Lovable on Arino One Core. Everything on this page can be tried at dento.arino.one. Patient names in the samples are invented, and data entered by visitors to the demo is deleted after 72 hours.

Does the practice still need a receptionist?

Not for bookings. Patients book themselves on the website, in WhatsApp or by talking to the AI receptionist, and all three write to the same diary. The dentist only sees the exceptions, such as a request she needs to approve, and handles each with one tap.

Does the dentist have to give out her own phone number?

No. The practice number runs in the cloud on the WhatsApp Business Platform through Infobip, so there is no second phone to carry. The dentist gets short alerts on her own WhatsApp, and patients never see her number.

How does the AI receptionist work?

It is a voice agent built with ElevenLabs. It tells the caller it is an AI before it starts listening, checks live times in the diary and books the slot. Saying 'human' at any point reaches the practice. Each call leaves a short summary in the console.

What happens when a patient cancels?

The freed slot is offered to patients on the waitlist straight away, and the first to tap gets it. Reminders go out two days before each visit so patients can confirm or move with one tap.

How is patient data protected?

Appointments can reveal health information, so Dento treats them with extra care. Booking and marketing consent are separate, the voice AI is disclosed before the microphone opens, alerts to the dentist's phone are minimised, and patients can download or delete their own data after verifying their number, with a receipt. Old records are removed automatically under the practice's retention settings.

Can another practice get the same setup?

Yes. Each practice gets its own dedicated Arino One instance, remixed from the same build and shaped to its treatments, opening hours and team.
