Finding the Right Driver Took a Phone Call Every Time
With 3,000 drivers, the hard part of dispatch was never the load. It was knowing who was free, near, licensed for it and willing.
- 01
Driver records out of date
Vehicle, licence and availability details sat in spreadsheets and went stale the day they were typed in.
- 02
Phone calls to fill every job
Dispatchers rang driver after driver to find someone free, with the right truck and the right licence.
- 03
No record of permissions
Drivers were messaged from personal phones, with no record of who had agreed to WhatsApp contact or what they had been told.
- 04
Dispatch tied to a desk
Matching a driver to a load needed the office system, so out-of-hours requests waited until morning.
- 05
Location by asking
Where is the truck? was a phone call, and any tracking tool on offer tracked drivers all the time.
- 06
An app nobody installs
Earlier driver apps saw low uptake. 3,000 drivers already use WhatsApp every day.
What the Driver Sends, the Dispatcher Sees
On the left is the driver's WhatsApp, and on the right is the dispatcher's console at the same moment. Step through opt-in, profile, availability, job offer and tracking.
- 09:02 Invite sent by SMS · dispatcher A. Horváth
- 09:04 WhatsApp opt-in received · privacy notice sent
The Driver Joins the Dispatch
The dispatcher adds a driver and an SMS invite with the privacy notice goes out. The driver taps it and messages JOIN on WhatsApp. Only then is WhatsApp contact allowed, and his opt-in is recorded.
Sample walkthrough. Names, routes and times are invented.
Drivers Keep Their Own Records Up to Date
The people who know a driver's truck, licence and days off best are the drivers themselves. The platform lets them keep that record current without a login.
Opt In With One Message
An SMS invite with the privacy notice, then JOIN on WhatsApp. His opt-in is recorded with time and channel.
Profile in a WhatsApp Flow
Vehicle type, licence categories, ADR, home base, routes and working days in a native form.
Change Anything by Message
Reply PROFILE to reopen the form, or just write I'm off Friday to Monday.
Job Offers With One Tap
Route, time, vehicle and rate in one message, with Accept and Decline buttons.
Tracking Only When Working
Start Tracking at pickup. Sharing ends on its own at delivery.
Stop Any Time
Reply STOP to end WhatsApp messages. The opt-out is recorded and respected straight away.
One Console for 3,000 Drivers
Add or Upload Drivers
Add one driver or import a list. Each one gets an invite and shows as Invited until he opts in.
Search the Whole Pool
Filter 3,000 drivers by vehicle, licence, ADR, distance from the load and availability on the day.
Review Drivers and Vehicles
Every profile, every change and its time stamp, plus each driver's offer and acceptance history.
Offer to One or Several
Send the same job to the best matches and take the first acceptance. The others are told it's filled.
Live Job Board
Every active job with its driver, position, ETA and the time of the last update.
Roles for the Team
Dispatchers, team leads and admins each see what their role allows, with every action logged.
The Dispatcher Doesn't Need to Be at a Desk
A registered dispatcher messages the company number from his own phone and describes the driver he needs. An AI assistant searches the driver database, replies with the closest matches and sends the offer when he picks one.
- No console, no WhatsApp Business app. His normal WhatsApp is enough.
- Admin numbers only. Search and offers answer only to registered dispatcher numbers.
- Same record. Offers made by message show in the console like any other.
Tracking That Starts at Pickup and Stops at Delivery
When a driver accepts a job, he gets a Start Tracking button. At pickup he taps it, and a secure page shares his phone's position with that one job. At delivery, sharing stops on its own, so the dispatcher sees where the load is without tracking the driver around the clock.
Only the team running that job can see the position, and drivers are told what is collected, why and for how long before they first use it.
Operators that already run telematics can connect it instead. The job board then shows vehicle positions for active jobs only.
Standard Arino One, With Dispatch Added
Driver dispatch is a separate module, not a change to every Arino One instance. The operator's dedicated instance was remixed from the standard build and the module was added on top, with its own drivers, vehicles, jobs and tracking. The inbox, automations, consent records and AI already in Arino Core work alongside it.

Each logistics client gets its own remix, so vehicle types, profile fields and offer flows can be shaped to that operator without affecting anyone else.
A Driver Database Kept in One Place
- Dedicated instance — The operator runs its own Arino Core instance, with nothing shared with other clients.
- Data isolation — Driver, vehicle, job and location data stay inside that single instance.
- Role-based access — Least-privilege roles for dispatchers, team leads and administrators.
- Admin numbers — Only registered dispatcher numbers can search drivers or send offers by message.
- Masked contact details — Phone and licence numbers are masked on screen unless a role needs them in full.
- Audit logging — Profile changes, searches, offers and acceptances are recorded on a reviewable trail.
- Webhook verification — Inbound messages are signature-verified before any payload is processed.
- Managed by Arino One — Provisioned, monitored and continuously developed by Arino One.
This page is maintained by Arino One and describes the controls enabled for this deployment. It is not an independent audit, certification or security attestation. The operator owns its own data-protection policies and lawful basis for contacting drivers.
Driver Data Governed by Design
- Clear roles — The operator is the controller. Arino One is the processor under a data processing agreement.
- Lawful basis set by the operator — Driver data rests on the working relationship and legitimate interest, not on consent, which is rarely free at work.
- Privacy notice up front — The SMS invite and the first WhatsApp reply link to the operator's privacy notice for drivers.
- WhatsApp opt-in before contact — No WhatsApp message goes to a driver until he has messaged the company himself.
- Only what dispatch needs — Vehicle, licence categories, home base, routes and availability. No ID documents, bank details or health data in chat.
- Location limited to the job — Collected only between Start Tracking and delivery, and visible only to the team running that job.
- Impact assessment first — Job tracking is switched on only after the operator's data protection impact assessment.
- Retention periods — Profiles, messages and tracking data are removed automatically when the operator's retention periods end.
- Driver rights — Drivers can see, correct and export their data and ask for deletion. Records the law requires are kept only as long as required.
- People decide, not AI — The AI assistant ranks matches. A dispatcher chooses who gets each offer.
- Little data on personal phones — Search results sent to a dispatcher's phone show first name, initial and distance only, never phone or licence numbers.
- Data location — The instance runs in the region the operator chooses, including the EU. Messaging providers process data under their own data processing terms.
This section describes how the module is designed and configured for this deployment. It is not legal advice, an audit or a certification. The operator, as controller, is responsible for its lawful basis, privacy notice for drivers, impact assessment and retention periods.

The Driver Pool Became Something You Can Search
Before, the driver pool lived in spreadsheets and phone contacts. Now drivers keep it up to date themselves on WhatsApp, and dispatchers can search all of it, from the console or from their own phone.
Drivers are told up front what is collected and why, WhatsApp contact starts only after they message first, offers and acceptances leave a trail, and location is shared for a job, not for a person.
Questions About This Deployment
Do drivers need to install an app?
No. Drivers join, build their profile, receive job offers and accept them in WhatsApp, which they already use. Live tracking opens from a link in the chat and needs no install.
How does a driver get added without breaking WhatsApp rules?
The dispatcher adds a driver the operator already works with, and the platform sends one SMS invite that says what the dispatch is and links to the operator's privacy notice for drivers. Nothing is sent on WhatsApp until the driver messages the company himself. That message is his WhatsApp opt-in, recorded with the time and channel.
Can drivers update their own details?
Yes. A driver replies PROFILE to reopen the profile form, or simply writes a change such as days off. Vehicle, licence categories, home base, route preference and availability update on the dispatcher's side straight away.
Does the dispatcher have to sit at the console?
No. Dispatchers registered as admins can message the company number from their own phone, describe the driver they need, get a ranked list back and send an offer, without opening WhatsApp Business or the console.
Is the driver tracked all the time?
No. Tracking starts when the driver taps Start Tracking at pickup and stops on its own at delivery. Outside an active job, the platform collects no location for the driver, and drivers are told what is collected, why and for how long before they first use it.
What is the legal basis for using driver data?
The operator is the data controller and sets the legal basis. Driver profiles, job offers and job-time tracking are based on the working relationship and the operator's legitimate interest in planning and running jobs, not on consent, because consent is rarely freely given at work. Arino One acts as processor under a data processing agreement.
Does the AI decide who gets a job?
No. The AI assistant ranks drivers by vehicle, licence, distance and availability. A dispatcher always chooses who is offered a job, and the driver decides whether to accept it.
Is dispatch part of every Arino One instance?
No. Driver dispatch is a separate module. A logistics client's dedicated instance is remixed from the standard Arino One build with the module added, so other clients' instances stay unchanged and each logistics client can have its own fields, vehicle types and flows.
