How to Build a Knowledge Base for Your AI Assistant
An AI assistant is only as good as what it knows. A short, clear, current knowledge base beats a large pile of documents. This guide shows what to write and how to keep the AI honest.
In ShortWrite one short article per question customers ask, using plain words and current facts. Include prices, hours, policies and handover rules. Leave out anything private. Review the questions the AI couldn't answer every month.
What to Include
- Opening hours, locations, contact routes.
- Products and services with current prices.
- Policies: delivery, returns, cancellations, payments.
- Booking rules and what to ask the customer.
- When to hand over to a person, and what to say.
How to Write It
- One topic per article, with the question as the title.
- Put the answer in the first sentence.
- Use real numbers and dates, not "usually" or "soon".
- Remove out-of-date pages instead of adding contradicting ones.
What to Leave Out
Don't add customer data, staff personal details, internal passwords or anything you wouldn't say to a customer. The AI may quote it.
Keep It Current
Review unanswered and handed-over questions each month and add the missing answers. In Arino One, the knowledge base sits in your platform and the AI answers from it with a handover when it isn't sure.

How do I stop the AI making things up?
Ground it in your knowledge base, tell it to hand over when unsure and review conversations regularly.
How often should I update it?
