Test these routes regularly, especially after changing staff rotas or phone numbers. Where life may be at risk, callers should always be told to contact the emergency services.

A missed-call follow-up is a short WhatsApp message sent seconds after the missed call, acknowledging it and offering a next step. For example:

Keep the follow-up short and friendly, sent from the same business number customers already know, and only to people who called you. It is a reply to their call, not a marketing message, so it should help them get what they rang about and nothing more.

What should happen after the call?

After the call, the customer should get a summary and any booking confirmation, and the team should get a summary and the transcript. The customer's message confirms what was agreed, such as the appointment time or that someone will call back, so there is no confusion later.

The team's summary covers who called, what they needed, how urgent it was and what was promised. The full transcript sits alongside it for anyone who needs the detail. Put both in the same inbox as your messages, so the next person to speak to the customer can see the whole story on one screen.

Review these summaries at the start and end of each day. They show which calls became bookings, which need a callback and which questions keep coming up, which tells you what to add to the agent's approved information next.
