AI Voice Agents for Business: How They Work, Where They Fit and What to Watch For

An AI voice agent is software that holds a real spoken conversation with your customers, answers from knowledge you approve and can take simple actions such as booking an appointment. It can answer your phone line, a call button on your website or a WhatsApp call. Used well, it means no call goes unanswered, while people still handle the calls that need them.

What is an AI voice agent?

An AI voice agent is software that listens to a caller, understands what they want and replies out loud in natural speech. Unlike an old phone menu that asks you to "press 1 for bookings", a voice agent lets the caller simply say what they need in their own words. It answers from approved knowledge, such as your opening hours, prices and policies, and when connected to your systems it can take actions: checking a calendar, creating a booking or looking up an order. It can run on an ordinary phone line, on a website through the browser, or on WhatsApp. When a call goes beyond what it should handle, it passes the caller to a person.

How does an AI voice agent work?

An AI voice agent works in three stages: it listens, it thinks and it speaks, all in real time. Voice agents typically combine three technologies.

  1. Listening. Speech-to-text turns what the caller says into written words.
  2. Thinking. A large language model (LLM) works out what the caller means, looks up the answer in your knowledge base and decides whether to use a tool, such as your booking calendar.
  3. Speaking. Text-to-speech turns the reply into a natural-sounding voice.

What makes it feel like a conversation rather than a recording is speed and turn-taking. The agent has to reply with very little delay, and it has to cope when the caller interrupts, changes their mind or talks over it. Voice agents handle interruptions and turn-taking in real time, which is why a good one feels close to talking to a helpful receptionist.

What are ElevenLabs Agents?

ElevenLabs Agents is a platform for building conversational voice and chat agents. The agents can run on the web, inside apps and on phone lines. In December 2025 ElevenLabs announced that its Agents support WhatsApp for both voice and text conversations, using the same knowledge base and logic as its other channels. For a business, that means one agent, with one set of approved answers, can sit behind several front doors. As with any provider, features and availability change, so check ElevenLabs' current documentation before planning around a specific capability.

Who is Ari, and can I try a voice agent?

Yes, you can try one right now: Ari, the voice guide on arino.one, is an ElevenLabs voice agent. Her knowledge base is built from the Arino One website, docs and resources, including guides like this one. Ari answers questions about Arino One, can open pages on the site for you while you talk, and can capture a solution blueprint for your project and send it to the Arino One engineers. Talking to her for a few minutes is the quickest way to hear how natural a voice agent can sound, and where its limits are.

Where does voice AI work best?

Voice AI works best on frequent, predictable calls where the answer or action is clear. Good starting points include:

  • Answering inbound calls, especially at busy times and after hours.
  • Booking, rescheduling and cancelling appointments.
  • Qualifying leads with a few questions before passing them to sales.
  • Giving order or booking status.
  • A multilingual first response for callers who speak another language.
  • Reminder calls to customers who have agreed to receive them.

A short example of an after-hours call:

  • Agent: Hello, you're through to the clinic's virtual assistant. How can I help?
  • Caller: I need to move my appointment tomorrow.
  • Agent: I can help with that. I have Friday at 9:30 or Monday at 14:00.
  • Caller: Monday, please.
  • Agent: Done. You're booked for Monday at 14:00, and I'll send you a text to confirm.

The common thread is that each of these calls has a clear goal and a small number of likely outcomes. Starting with one type of call, such as after-hours bookings, lets you check the agent's answers, listen to recordings and adjust the knowledge before you widen its role. Many businesses find the biggest early gain is simply that calls which used to go to voicemail now get a helpful answer.

Where should a voice agent not take the call?

A voice agent should not handle calls that need empathy, judgement or authority; those should go to a person. That includes:

  • Complaints and angry or upset callers.
  • Delivering bad news.
  • Complex negotiation, such as pricing exceptions or disputes.
  • Vulnerable callers, or anyone who asks for a person.

The agent can still help by recognising these calls early and transferring them, or by taking a message and a callback number, so the caller is never stuck.

It is worth deciding these routes before launch rather than after the first difficult call. Agree which phrases or topics trigger a transfer, who receives transferred calls at different times of day, and what the agent says when nobody is available. A clear, honest message such as "I'll ask a member of the team to call you back this morning" is far better than an agent trying to handle something it should not.

How do voice and messaging work together?

Voice and messaging work best together: the call handles the conversation, and a message makes the outcome concrete. When a call ends, the customer can receive a WhatsApp, SMS or email summary, a booking confirmation or a payment link. This gives them something to refer back to, reduces "what did we agree?" calls and lets you continue the conversation in writing if needed. It also means the call and the messages belong in the same contact record, so whoever picks up next sees the whole story.

What rules apply to AI voice agents?

The main rules are to be open that callers are speaking to AI, to tell them about recording and transcription, and to treat voice data as personal data.

  • Disclose the AI. Tell callers they are speaking to an AI. In the EU, transparency duties under the EU AI Act apply from 2 August 2026.
  • Recording and transcription notices. If calls are recorded or transcribed, say so at the start of the call.
  • Voice recordings are personal data. Under the General Data Protection Regulation (GDPR), recordings and transcripts are personal data, so define how long you keep them and delete them when that period ends.
  • Never clone a real voice without consent. Do not recreate a real person's voice without their explicit consent.

What drives the cost of a voice agent?

The cost of a voice agent is driven by three things: the minutes of voice used, the AI model usage behind each conversation, and telephony or channel fees for the line the call arrives on. Longer calls and higher volumes cost more, and rates vary by provider and country, so check each provider's current pricing when you plan.

You can keep costs predictable by designing calls well. A voice agent that answers the question quickly, confirms the outcome and sends the details by message uses fewer minutes than one that reads out long lists. Reviewing call lengths and common questions each month shows where the knowledge can be tightened.

How Arino One fits

Arino One builds conversational business platforms on Arino Core, where every client gets a dedicated, single-tenant instance they own. Voice calling, voicemail and transcription sit alongside WhatsApp, SMS, RCS, email, live chat and 18+ channels in that one instance, and AI voice agents connect to the same contacts and unified inbox, so a person can pick up with the full history. AI features use your own Claude or OpenAI API key. See the voice calling documentation for how it is set up.

FAQ

Can callers tell they are talking to an AI?

Sometimes not, because modern voice agents sound natural and handle interruptions in real time. That is exactly why you should tell callers at the start that they are speaking to an AI. Being open sets expectations and builds trust.

Do I have to tell people they're speaking to an AI?

In the EU, yes. Transparency duties under the EU AI Act apply from 2 August 2026 and cover AI systems that interact with people. A short line at the start of the call is usually enough. This is general information, not legal advice.

Which languages can an AI voice agent speak?

Usually many. Voice agents are built on language models and speech technology that support a wide range of languages, so a multilingual first response is practical. Test the quality in each language you rely on before going live.

Can an AI voice agent book appointments?

Yes, if it is connected to your booking system. The agent can check availability, offer slots, and book or reschedule once the caller confirms. A written confirmation by WhatsApp, SMS or email afterwards is good practice.

Can I use an AI voice agent on WhatsApp calls?

Yes. In December 2025 ElevenLabs announced that its Agents support WhatsApp for both voice and text conversations, using the same knowledge base and logic as other channels. Check the provider's current documentation for availability and setup.
