WhatsApp for Hospitality: What to Automate and How to Stay Compliant

Hospitality has a messaging problem email never solved: guests arrive from a dozen countries, on roaming plans, needing answers in the next hour rather than the next business day. WhatsApp is already installed on their phone, and it does not care which country they flew in from.

Booking confirmation and pre-arrival

Confirm the reservation the moment it is made, then run a pre-arrival sequence: directions and parking three days out, check-in details and an early-check-in or upgrade offer the day before. Utility templates keyed to the reservation date, driven from your PMS through an automation. The upsell converts here far better than at the desk, because the guest is still planning rather than tired and queueing.

In-stay concierge

Towels, restaurant reservations, late checkout, a taxi at seven. These arrive as free-form messages inside the 24-hour service window, so no template is needed — what matters is routing. Front desk, housekeeping and F&B each need the requests that belong to them, in one shared inbox, with quick replies for the twenty questions that make up most of the volume and quiet hours so a 3am request gets acknowledged rather than ignored.

Multi-language without multi-teams

A German guest writes in German, a Brazilian in Portuguese, and your night staff speak neither. Inbound translation in the agent's own language, with the reply translated back, lets one team cover a floor of nationalities. Templates should still be authored and approved per language for anything scheduled — the pre-arrival message reads better written natively than translated on the fly.

The channels guests actually use

WhatsApp dominates Europe and Latin America, but a Korean guest expects KakaoTalk, a Japanese one LINE, a Vietnamese one Zalo, and an American may simply reply over SMS or Apple Messages. The compliance note

Separate the reservation relationship from marketing. Stay confirmations and in-stay service rest on contract performance; "come back in the autumn, here's 15% off" needs consent captured at booking or check-in and recorded, with opt-out honoured at send time. Guest lists are exactly the sort of data that gets copied between systems, so keep the master record in one place — background in the GDPR position on WhatsApp.

Guest data is commercially sensitive as well as personal, and groups with several properties usually want one instance, branded as the hotel rather than the vendor, with the database in a European region they can name in a procurement answer.
